A Step-by-Step Guide to Print Pay Stubs and Paychecks in QuickBooks Desktop

If you pay your employees through paper checks, you can easily print them by using your payroll product. Let me walk you through the steps that can help you print paystubs in QuickBooks.


Step 1: Set up your printing preferences

In QBO Payroll

  • Go to the Settings.

  • Choose Payroll Settings.

  • In the Printing section, choose Edit.

  • Choose how you want to print your paychecks or paystubs.

    • Pay stubs on plain paper

    • Paycheck on QuickBooks-compatible check paper.

  • Choose Save.


In QBDT Payroll

Set up paychecks: 

  • Go to the File menu.

  • Choose Printer Setup.

  • Head over to the Form Name.

  • Choose Check/Paycheck.

  • Click on the Settings tab.

  • Choose your Printer Name and then click on Printer Type.

  • Tap on Check Style of Voucher, Standard, or Wallet.

  • Choose the additional options to print your company name and address, logo, or image.

  • Click OK.


Set up pay stubs:

  • Head over to the File menu.

  • Choose Printer Setup.

  • In the Form Name, tap on the Pay Stub.

  • Choose your Printer Name and Printer Type.

  • Choose OK.



Step 2: Print paychecks or pay stubs

In QBO Payroll

  • Go to All apps.

  • Choose Payroll and then click on Employees.

  • Choose the Paycheck list below Run payroll.

  • Pick the paycheck that you want to print.

  • Click on the Filter dropdown.

  • Change the Date range or Employee.

  • Now, in the Action column.

  • Choose Print pay stub, and you will see a preview of the paycheck or pay stub.

  • Choose the Printer icon to print.


In QBDT Payroll

Print paychecks

  • Head to the File menu.

  • Choose Print Forms.

  • Choose Paychecks.

  • Click on the payroll Bank Account dropdown.

  • Ensure that the number present in the First Check Number field matches the number of the first check in your printer.

  • Now, you need to choose either Paycheck or Direct Deposit.

  • Choose OK and take a final look at the print settings.

  • Choose Print at last.


Print pay stubs

  • Go to the File menu.

  • Choose Print Forms.

  • Click on Pay Stubs.

  • Tap on the payroll Bank Account dropdown.

  • Enter the date range that has the pay date of the pay stubs.

  • Pick the pay stubs that you want to print. 

  • Choose the Employee dropdown to filter by specific employees.

  • Click on Preferences to select the company and employee info that will be printed on the pay stubs.

  • If you are willing to include any message on the pay stub, enter text in the Company message to be printed on all pay stubs.

  • Choose Preview to take a look before printing it.

  • Click on Print.
